Roggio Limited (“Roggio”, “we”, “us”, or “our”) is the controller of the personal information collected through our website https://roggio.co.uk (the “Site”).
Roggio Limited is a company registered in England and Wales under company number 16633773. Our registered office is at 167-169 Great Portland Street, 5th floor, London W1W 5PF. Our VAT number is GB507077106.
Roggio Limited is part of the Roggio group, which also includes Roggio Holding Ltd (company number 16931948), our parent company, and Roggio IP Ltd (company number 16931972), which holds the group’s intellectual property. Limited personal information may be shared within the group for legitimate operational and management purposes, as described in section 6 below.
This Privacy Notice explains what personal information we collect, how we use it, who we share it with, and what rights you have. It is written to comply with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR).

2. About Our Customers and Children’s Data
Our products are designed for junior tennis players aged approximately 8 to 15. However, our Site and Services are intended only for use by adults aged 18 or over. To purchase from us, create an account, or sign up to our newsletter, you must be at least 18.
We recognise that our Site is likely to be visited by, or accessed in the presence of, children. We take the requirements of the Information Commissioner’s Office (ICO) Age Appropriate Design Code (the “Children’s Code”) into account in the way we operate our Site, including:
• We do not knowingly collect personal information directly from children;
• We do not knowingly use personal information collected from children for behavioural advertising purposes;
• We use analytics and marketing technologies, including Meta Pixel and Google Analytics, only in accordance with applicable privacy laws and subject to user cookie consent preferences where required;
• We do not run advertising campaigns that target children directly;
• We keep the personal information we collect to the minimum needed to run our business.
If a child’s name, age, or size is shared with us by a parent or guardian (for example, in a sizing question or a personalised gift note), we treat that information with the same care as any other personal data and only use it for the specific purpose for which it was provided. If you believe we hold information about a child that we should not, please contact us at help@roggio.co.uk and we will take prompt action.
3. What Personal Information We Collect
We only collect personal information that we need to run our business and serve our customers. We do not buy personal data from data brokers, marketing partners, or any other third-party data sources.
Information You Give Us
Depending on how you use the Site, we may collect:
• Account and order information: name, billing and delivery address, email address, telephone number (optional), and account password.
• Order details: the products you have purchased, sizes, order history, and any sizing or product notes you provide.
• Payment information: payment card details are entered directly into our payment providers’ secure systems (see section 5). We do not see or store full card numbers.
• Marketing preferences: if you sign up to our newsletter, we collect your email address and a record of your consent.
• Communications: any information you send us when you email us, contact customer service, or respond to a survey.
• Reviews: if you provide us with a review of our products by email, we will keep a record of your review and your consent to publish it on the Site.
Information We Collect Automatically
When you visit the Site, we and our analytics provider may automatically collect limited technical information:
• IP address (used to derive approximate location — typically town or region, not precise location);
• Device and browser type, operating system, screen size, and language settings;

4. How We Use Your Personal Information and Why
We process your personal information for specific purposes, each with a lawful basis under UK GDPR:
To process your orders and provide our products
• What: Taking and fulfilling orders, processing payments, arranging delivery, handling returns and exchanges, and providing customer service.
• Legal basis: Performance of a contract with you (UK GDPR Article 6(1)(b)).
To manage your account
• What: Creating and maintaining your account, authenticating you when you log in, and keeping your account information up to date.
• Legal basis: Performance of a contract with you.
To send you marketing emails
• What: Sending you our newsletter and promotional emails, only if you have signed up to receive them.
• Legal basis: Your consent (UK GDPR Article 6(1)(a) and PECR). You can withdraw consent at any time using the unsubscribe link in any marketing email or by emailing help@roggio.co.uk.
To send you service emails
• What: Order confirmations, dispatch notifications, refund updates, important account or policy changes.
• Legal basis: Performance of a contract; legal obligation for certain notices.
To publish customer reviews
• What: If you provide us with a review of our products, we may publish it on the Site (for example, on the product page or homepage). We only publish reviews with your explicit consent and do not invent or alter the substance of reviews.

To improve our Site and products
• What: Analysing aggregated, non-identifying usage data through Google Analytics 4 to understand how the Site is used and improve it.
• Legal basis: Your consent (through our cookie banner) for analytics cookies.
To advertise our products
• What: Running interest-based advertising campaigns on Meta platforms (Facebook and Instagram). Subject to your cookie consent preferences where required, we may use Meta Pixel and similar technologies to measure advertising performance, understand how visitors use our Site, and improve our marketing activities. We do not sell customer data to Meta.
• Legal basis: Your consent for marketing cookies and tracking technologies where required under applicable law, and our legitimate interest in promoting our products and improving our advertising performance.
To meet our legal and tax obligations
• What: Keeping financial and order records as required by HMRC, complying with VAT rules, and responding to lawful requests from regulators or law enforcement.
• Legal basis: Legal obligation (UK GDPR Article 6(1)(c)).
To protect our business and prevent fraud
• What: Detecting and preventing fraudulent orders, payment chargebacks, and abuse of our Services.
• Legal basis: Our legitimate interest in protecting our business and customers.
5. Who We Share Your Information With
We share your personal information only with the providers and parties we need to in order to run our business. We do not sell your personal information.
Service Providers
We use trusted third-party providers (“processors”) to operate our business. Each is bound by a written contract that requires them to protect your information and only use it for the purposes we instruct.
• Shopify: hosts our Site, manages our store, and processes order data. Shopify is based in Canada with data centres internationally. See: https://www.shopify.com/legal/privacy
• Shopify Payments, PayPal, Klarna, Apple Pay, and Google Pay: payment processing. They handle your payment details directly under their own privacy policies.
• Mailchimp (Intuit Inc.): manages our newsletter subscriber list and sends marketing emails on our behalf. Mailchimp is based in the United States. See: https://www.intuit.com/privacy/statement/
• Google (Google Analytics 4): provides website analytics. Loaded only after you give cookie consent. See: https://policies.google.com/privacy
• Royal Mail: delivers our orders. We share the recipient name, delivery address, and contact details needed to complete delivery.
Roggio Group Companies
Limited information may be shared with Roggio Holding Ltd and Roggio IP Ltd for legitimate internal management, financial reporting, and intellectual property administration. All three companies are registered in England and Wales and subject to UK GDPR.
Meta Platforms
We advertise on Facebook and Instagram. Subject to your cookie consent preferences where required, Meta Pixel and similar technologies may collect limited information about interactions with our Site, such as page visits and browsing activity, to help us measure and improve our advertising campaigns. Any information processed by Meta is governed by Meta’s own privacy policy and your settings with Meta.
Legal and Regulatory Disclosures
We may share personal information where we are legally required to do so (for example, in response to a valid court order or HMRC request), or where we need to in order to establish, exercise, or defend legal claims.
Business Transfers
If Roggio is sold, merged, or restructured, your personal information may be transferred to the new owner as part of that transaction. We will tell you in advance if this is going to happen.
6. International Transfers
Some of our service providers are based outside the United Kingdom. Where personal information is transferred outside the UK, we ensure appropriate safeguards are in place as required by UK GDPR. This typically includes:
• Transfers to providers certified under the UK Extension to the EU-US Data Privacy Framework (for example, Mailchimp and Google);
• UK International Data Transfer Agreements (IDTAs) or the UK Addendum to the EU Standard Contractual Clauses;
• Adequacy decisions where the UK Government has determined the destination country provides an adequate level of protection.

7. How Long We Keep Your Information
We keep your personal information only for as long as we need it. Specific retention periods include:
• Order and transaction records: 6 years from the end of the financial year in which the order was placed, as required by HMRC for VAT and tax purposes.
• Account information: for as long as your account is active. If you close your account or remain inactive for 3 years, we will delete or anonymise your account data (subject to the order-records retention period above).
• Marketing subscribers: for as long as you remain subscribed. We will remove you from our marketing list within 30 days of you unsubscribing, while keeping a minimal record of your unsubscribe request for compliance purposes.
• Customer service correspondence: up to 3 years from the date of the last communication, unless a longer retention period is needed for a specific legal reason (such as an ongoing complaint or dispute).
• Reviews: for as long as we display the review on the Site, plus a record of the consent we received to publish it.
• Analytics data: for up to 14 months in Google Analytics 4, in aggregated and de-identified form.
When we no longer need your information, we securely delete or anonymise it.
8. How We Protect Your Information
We take appropriate technical and organisational measures to protect personal information, including:
• Industry-standard encryption (HTTPS/TLS) for all data transmitted between you and the Site;
• Limiting access to personal data to people who need it to do their job;
• Using reputable service providers (such as Shopify) with strong security track records;
• Keeping payment data outside our systems by using PCI-DSS compliant payment processors.
No system is 100% secure, and we cannot guarantee absolute security. However, we work to ensure our security measures are appropriate to the level of risk.

• Right not to be subject to automated decision-making — we do not make automated decisions that produce legal or similarly significant effects about you.

We will continue to send you essential service emails (for example, order confirmations) even if you have unsubscribed from marketing, as these are required to fulfil your contract.

We may update this Privacy Notice from time to time to reflect changes to our business, our processors, or applicable law. When we do, we will revise the “Last updated” date at the top. If we make significant changes, we will let you know by email (where appropriate) or by a prominent notice on the Site.
